In order for an office to run profitably and efficiently, all policies and procedures must be implemented, followed, and adhered to. The most basic of administrative systems such as telephone etiquette and golden rules of courtesy can make a world of difference in a practice. I believe the key and essential system is that of tracking and analyzing statistics.

 
 PROMOTION
 

A constant inflow of new patients and clients is essential to the survival of any practice. In order to have this constant inflow of new prospects, you must have a constant outflow with a consistent and professional look. There should be a combination of both internal and external marketing. Both branding and direct response need to be a part of the marketing plan. At the very least, there should be a monthly mailings, newsletters and a highly promoted event.

 
 COMMUNICATION
 

If you picture communication as a game of catch, with a ball that is passed between two people, we can use this metaphor to discuss how to make communication work. Effective communication, then, would not only mean that one person throws the ball and the other catches it, but that the ball is returned to the person who threw it first. Great communication requires the completion of a pass and a return. The game of catch wouldn’t last very long without both of these elements.


If you desire or lack expected communication within your practice you must implement the following for each employee.

A complete and detailed job description
An objective of the job
A well-defined and achievable goal

Cross training needs to be done to ensure that there is no gap in production.  A weekly staff meeting must be scheduled each week and made a requirement for every staff member to attend. In addition, a morning huddle should be held every day before patient appointments begin.  This morning huddle will get the team focused and on purpose.

RESPONSIBILITY

It’s not an easy thing to accept that every action we make also has a reaction.  In order to have a successful practice, each member of the team, employee or employer, must own their responsibility.  This can be achieved by keeping yourself, and also your teammates, accountable.  Each person involved in accomplishing the organization’s goals needs to be dependable, reliable, and most importantly, responsible.  Responsibility will help the practice to complete critical objectives and reach maximum profitability.

 
   
ACCOUNTABILITY

In order to be accountable, it is necessary that you do the following:

 
Establish goals individually and for the company as a whole.  
Establish consequences for failing to meet goals.  
Establish rewards for goal achievement.  
Decide the tasks necessary to reach these goals.  
Assign these tasks to a specific person or persons.  
Follow up and follow through!  
A STRONG,POSITIVE TEAM

Every practice and organization is run differently.  But the common thread that ties them together is having a strong, positive team.  Each member of the team needs to be aware of the foundation and vision of the organization.  The team should constantly be working cohesively with a common purpose and goal.  This can be developed with the implementation of systems, communication, responsibility, and accountability.  A strong, positive team creates a strong, positive organization.
